The challenge
J2Lets runs on a team of virtual assistants. The answers they need — property details, landlord and tenant history, processes, who agreed what — were spread across Google Sheets, WhatsApp chats and documents. Every question meant digging, or interrupting someone who knew. New assistants took weeks to get up to speed.
What we built
- Data pipelines that connect to every source — Google Sheets, WhatsApp chats, documents and more — and turn them into one clean, organised knowledge base.
- Event-driven syncing: when a sheet is edited or a new message lands, the pipeline picks it up and the knowledge base updates itself. Nobody has to remember to “update the bot”.
- A retrieval-augmented (RAG) AI assistant on top: assistants ask a question in plain English and get the answer in seconds, with the source it came from so they can check it.
- Guardrails so it answers from the business’s own data, and says so when it doesn’t know — instead of guessing.
The outcome
Assistants answer questions on their own, instantly, from information that is always current. The hunting, the back-and-forth and the interruptions are gone — saving the business hundreds of working hours.
